Privacy Policy
Effective date: October 15, 2026
This Privacy Policy explains how ServiceHubz ("we", "us" or "our") collects, uses, shares and protects personal information when you visit this website, request a demo, or use the ServiceHubz field-service management platform on the web or on mobile devices (together, the "Services").
ServiceHubz is used by service businesses (our "Customers") to manage their own customers, jobs, technicians, estimates, invoices and payments. When a Customer stores information about its own clients in ServiceHubz, the Customer decides what is collected and why, and we process that information on the Customer's behalf and under our agreement with them.
1. Information we collect
Information you give us
- Demo requests. When you use the Request a Demo form on our Contact page we collect your first and last name, email address, phone number, company name, company size, job title and industry.
- Account information. When you or your company sign up, we collect names, business details, email addresses, phone numbers, login credentials, user roles and billing details for your subscription.
- Customer and job data. Information Customers enter about their own clients and work, such as client names, contact details and service addresses, job and dispatch records, schedules, estimates, invoices, notes, photos, inventory and parts records, and messages sent through the platform.
- Payment data. Records of payments made or received through the Services. Card and bank details are entered with and processed by our payment providers; we do not store full card numbers.
- Communications. Anything you send us by email, phone or support request.
Information collected automatically
- Location data. When technicians use the ServiceHubz mobile or web app, we may collect device location while the app is in use (and, where enabled, during working hours) to support dispatching, routing, arrival times and job records. Location access can be turned off in the device settings, though some features will then not work.
- Usage and device data. IP address, browser and device type, operating system, pages and features used, dates and times of access, and error logs.
- Cookies and similar technologies. See "Cookies" below.
2. How we use information
- To provide, operate and maintain the Services, including scheduling, dispatch, invoicing, payments, inventory and reporting.
- To power AI features such as diagnostics, suggestions and analytics for the Customer who owns the data.
- To respond to demo requests and enquiries, and to provide support.
- To process subscription billing and the payments Customers take through the Services.
- To send service notices, security alerts and, where permitted, marketing messages you can opt out of at any time.
- To keep the Services secure, prevent fraud and abuse, and fix problems.
- To understand how the Services are used and improve them, using aggregated or de-identified data where possible.
- To comply with legal obligations and enforce our terms.
We do not sell personal information, and we do not use Customer data to train AI models for other customers.
3. How we share information
We share personal information only as described here:
- Payment providers such as Stripe, PayPal, Razorpay and Venmo, to process subscription and customer payments. They handle payment details under their own privacy policies.
- Hosting and infrastructure providers that store and run the Services on our behalf.
- Mapping and location services used to show addresses, plan routes and estimate travel times.
- Other service providers that help us with email and SMS delivery, analytics, customer support and AI processing, bound by contracts to use the data only to provide their services to us.
- Within a Customer's account, for example between office staff and technicians, and with the Customer's own clients when the Customer sends them estimates, invoices or appointment updates.
- Legal and safety reasons, when required by law or to protect the rights, property or safety of ServiceHubz, our users or others.
- Business transfers, as part of a merger, acquisition or sale of assets, subject to this policy.
4. Cookies
We use cookies and similar technologies that are needed for the website and app to work (for example, keeping you signed in), and, where permitted, cookies that help us understand usage. You can block or delete cookies in your browser settings; some parts of the Services may not work without them.
5. Data retention
We keep account and Customer data for as long as the account is active and as needed to provide the Services. After an account is closed we delete or anonymise the data within 90 days, unless we must keep it longer for legal, tax, accounting or dispute-resolution purposes. Demo request details are kept for up to 24 months unless you become a Customer.
6. Security
We use reasonable technical and organisational measures to protect personal information, including encryption in transit, access controls based on user roles, and monitoring of our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict certain processing, to withdraw consent, and to opt out of marketing. If you are a client of one of our Customers, please contact that business first, since it controls your data; we will help them respond. To make a request, contact us using the details below. We will not discriminate against you for exercising your rights.
8. Children
The Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.
9. International transfers
We operate in the United States and India, and our providers may process data in other countries. Where required, we use appropriate safeguards for these transfers.
10. Changes to this policy
We may update this policy from time to time. We will post the new version on this page and change the effective date above, and we will give additional notice of significant changes where required.
